Does your business involve transporting products from one location to another? If so, efficiency is one thing you can’t ignore. In a survey by McKinsey, distributors recognise operational excellence as a promising pathway to profitability. Plus, maximising operational efficiency in distribution translates into greater productivity, agility, and improved customer satisfaction. With that said, how do you optimise efficiency throughout the distribution channel? Maintaining productivity and efficiency in fast-paced environments like distribution is challenging but not impossible. Having a strategy that focuses on improving inventory management, packaging, transportation, and last-mile delivery can be helpful. Your business can easily prevent delays, reduce operational costs, enhance the customer experience, and boost employee productivity. In this post, you’ll learn the ideal practices for optimising efficiency in distribution. This includes automating processes, investing in the right fleet, improving communications, and embracing data analytics.

This is a guest post by the wonderful Lucy Rose. Thank you, Lucy, for writing this for me.

Prioritise Fleet Efficiency

You’re in the business of moving goods from point A to point B, so having an efficient fleet is important. To ensure your business’s fleet is efficient, check if your delivery vehicles are reliable. For instance, if you’re shopping for trucks, find out what other customers are saying about different truck models. Check the ratings of the best fuel-efficient trucks, as the fuel economy of vehicles determines the overall efficiency of your business.

What if your vehicles are always breaking down? The results will be delayed deliveries. A fleet with a higher fuel economy and low breakdown rate will cost less to operate, and you’ll deliver products on time. Besides buying vehicles with high fuel efficiency, look out for other ways to boost fleet efficiency. This could be anything from optimising routes for quick deliveries, teaching efficient driving habits, and encouraging preventive maintenance. Also, reduce the idling of automobiles during transit and have the plan to replace ageing fleet vehicles to prevent costly breakdowns.

Streamline Processes

This step is something every entrepreneur should do to enhance distribution processes. Unfortunately, it’s often ignored and businesses end up losing huge amounts of money because of operational inefficiencies. Like many entrepreneurs, you might not know how to streamline distribution processes with efficiency in mind. It’s as straightforward as it sounds. Start with a thorough assessment of your current workflows to see if there are unnecessary steps you can eliminate. For example, you may discover repetitive tasks, like inventory management, invoicing, payroll, and scheduling orders can be automated.

Automation reduces workload, meaning you and your team have more time to focus on important tasks. With extra time, you can perform warehouse auditing, plan for last-mile deliveries, and identify the best picking strategies to promote distribution efficiency. For instance, when you streamline inventory management, you can reduce incidents of low stock and overstock, which boosts efficiency. By integrating tracking software for inventory management, you get clear visibility of stock. You can then make informed decisions about inventory to reduce carrying costs and make overall processes efficient.

Use Technology For Distribution

It’s impossible to talk about improving efficiency and productivity in distribution channels without mentioning technology. Technologies promoting operational excellence in distribution include automation and robotics, artificial intelligence, big data analytics, and artificial intelligence. Implementing the use of tech in distribution enables you to automate different tasks, thus boosting speed and accuracy. For instance, introducing automation in order management systems helps businesses streamline order processing and fulfilment. You’ll notice reduced manual errors in order processing and accuracy in the fulfilment of orders.

Working with robotics, especially in warehouse management, such as sorting and packaging, improves speed and accuracy. Another technology worth integrating into distribution processes is big data analytics. This innovative tech helps businesses to collect and analyse data on industry trends and customer behaviour. With detailed info on customer expectations, it’s easy to develop strategies that foster efficient shipping and customer-focused operations. When paired with artificial intelligence, big data analytics also help distributors to optimise routes. Businesses can also predict fleet and equipment maintenance, hence increasing efficiency while lowering operational expenses.

Prioritise Effective Communication

How you communicate with distribution channel partners and your internal team affects your operation’s efficiency. Naturally, when businesses don’t communicate their goals or expectations with partners, inefficiencies like delays in delivery occur. Failure to share information like where products will be picked and delivered to, or delivery deadlines, results in low customer satisfaction and reduced revenues. Therefore, be clear when communicating. Outline the responsibilities of each team member, explain performance indicators, and review and adjust agreements to match distribution goals. Also, take advantage of communication technologies or platforms to foster collaboration.

Any entrepreneur who has been in the quest for optimising efficiency in distribution processes will admit the journey is tiring. But it’s not impossible to achieve the desired results. To optimise distribution efficiency, ask yourself if your fleet is efficient. Invest in vehicles that are fuel-efficient and easy to maintain. Evaluate processes, streamline them through automation, and eliminate the unnecessary. Taking advantage of technology and nurturing clear communications also paves the way for increased efficiency in distribution.
